KEY AREAS OF RESPONSIBILITY
- Administrative and legal area
- Communication with partners, clients and relevant institutions in Belgium: banks, legal advisers, insurance companies, auditors, etc.
- Assisting in providing necessary legal reports and documents such as tax declarations, insurances, contracts, etc
- Implementing and following up on the legal registration of statutory related items
- Assisting in organisation of electronic archives for the key documents
- Assistance in translation to/from French language
- Dealing with the minutes of key statutory and management meetings
- Assisting in Communications & Partnerships department
Office management
- Dealing with post
- Attending management meetings at Mundo-J building
- Assisting in daily office maintenance
- Being responsible for the office inventory and safety protocol
Project management and events assistance
- Assistance in organising the events of YMCA Europe in Brussels and abroad (registration of participants, communication with participants, searching and booking venues, negotiating prices, organising meals, excursions, etc.)
- Assisting in booking flights and accommodation for the Secretary General and other staff
- Assistance in financial and narrative reporting of some projects
KEY SKILLS AND REQUIREMENTS
- Experience of working in the sphere of administration and management
- Possessing Belgium ID
- Excellent command of French and English language (other languages are an advantage)
- Excellent communication skills
- Excellent PC skills (word, excel, power point, zoom, google, microsoft teams, canva, etc.)
- Experience of working in non-governmental organisations will be an advantage
- Ability to travel occasionally
